Connect your office and field teams—from daily planning to customer feedback

Trinetra iWay brings field scheduling, mobile updates, location visibility and performance reporting into a connected workflow. Managers can organize work and review progress, while field executives access customer information and record activities through the mobile app.

1. Set Up Your Organization and Teams

Start by organizing your field workforce, reporting hierarchy and user access. Define responsibilities so administrators, managers and field executives can work with information relevant to their roles.

This creates the foundation for assigning work, reviewing submissions and monitoring team performance.

2. Prepare Territories, Leads and Customer Data

Organize customer locations, lead priorities and territory responsibilities before planning visits. Group customers by branch or assigned executive to support clear ownership and coordinated follow-ups.

During onboarding, agree how existing territory, lead and customer records will be added or imported, based on the available data-loading options.

3. Plan Visits and Schedule the Right Executive

Allocate customer visits and service jobs by considering priority, location, employee skills and availability. Review existing schedules and workloads to identify gaps or conflicting assignments.

When priorities change or a customer becomes unavailable, update the schedule and keep the assigned executive informed.

4. Deliver Assignments Through the Mobile App

Field executives access their planned activities, customer details and job information through the Trinetra iWay mobile app.

Notifications communicate new assignments and schedule changes, helping teams respond without relying on repeated coordination calls.

5. Capture Location and Verify Customer Visits

Use location updates and visit records to understand where field activities take place. Managers can review customer check-ins, travel history and visit timing alongside the planned schedule.

Where configured, customer landmarks and geofences provide additional location context to help verify visits.

6. Continue Supported Activities Offline

Connectivity interruptions do not have to stop supported field updates. The app can store data during a connection loss and send it to the server after connectivity returns.

Offline availability depends on the activity and configuration. Managers receive stored updates after synchronization; live visibility requires connectivity.

7. Record Field Progress and Visit Outcomes

Executives update task progress, visit outcomes and follow-up requirements from the field. Notes and photographs help explain completed work, customer requirements or issues requiring attention.

Sales teams can record orders through the relevant module, while service teams update job information and progress toward completion.

8. Review Submissions and Manage Approvals

Managers review field activity and supporting information to identify pending actions. Applicable requests, including expenses and leave, follow their approval process.

Expense reviewers can assess submitted claims and record rejection reasons where required. Approval requirements depend on the request type and configured workflow.

9. Capture Customer Feedback at the Visit

Collect customer feedback and star ratings after a visit or service activity. Feedback helps managers understand the customer’s experience and identify areas needing follow-up.

Customer feedback can be captured at the point of service, alongside field updates, according to the applicable workflow.

10. Turn Field Activity into Useful Reports

Review attendance, travel history, planned versus actual visit duration, schedule deviations and target achievement through dashboards and reports.

Use these insights to identify missed visits, review team performance and improve future planning. Relevant expense and customer-feedback information adds context to operational reviews.

11. Plan the ERP or CRM Handoff

Where a third-party integration is configured, connect the agreed field workflow with your existing business systems.

Define which records need to move between systems, the direction of transfer and when updates should occur. ERP/CRM compatibility, data mapping and synchronization requirements are assessed as part of the integration scope.
